Implementation is mostly a one-time cost, but a healthy CRM needs some ongoing spend. Budget for these lines from the start so year two does not come as a surprise:

  • Admin time. Someone has to add fields, fix reports, manage users and answer “why can’t I see this record” questions. In a small team this is a few hours a week from an internal owner. In a larger one it is a part-time or full-time admin.
  • Change requests. New products, a new sales team or a new approval step all mean configuration work. Many US businesses keep a small monthly support retainer with their partner for this.
