Zoho Integration Readiness Checklist

Use this checklist before you connect Zoho CRM, Zoho Books, Zoho Flow or a third-party app, and again each quarter. It has 21 checks across five areas. For the full walkthrough, read our Zoho integration guide.

Data and field mapping

  1. Map every field between the two apps, including custom fields, and record the mapping in one shared sheet.
  2. Check that picklist values match on both sides so a status never arrives as an unknown value.
  3. Mark required fields on both sides and confirm the source always supplies them.
  4. Decide how duplicates are detected (email, phone, account ID) before records start syncing.
  5. Standardise time zones and date formats, and test with a record created near midnight.

Money, tax and records

  1. Confirm currency and tax settings match between Zoho CRM and Zoho Books before invoices sync.
  2. Check that rounding rules and decimal places produce the same totals in both apps.
  3. Take a full data backup of every connected app before turning the integration on.

Reliability and error handling

  1. Set failure alerts so someone is emailed when a sync or Zoho Flow run fails.
  2. Review execution history weekly and fix repeating failures at the cause.
  3. Note the API limits of each app and check your sync volume stays well under them.
  4. Find out when connection tokens expire and put the reconnect date in a calendar.
  5. Write a rollback plan: how to undo a bad bulk sync using the backup.

Ownership and access

  1. Name one owner for each integration and one backup person.
  2. Give the integration user the minimum permission role it needs, not full admin.
  3. Define how records are assigned to owners when they arrive from the other app.
  4. Use a clear naming convention for flows, workflows and custom functions.

Testing and governance

  1. Test in a sandbox or with sample records before going live.
  2. Confirm opt-in and consent fields carry over so you only contact people who agreed.
  3. Keep an audit trail of who changed integration settings and when.
  4. Train the users who touch the synced data, and review the whole setup every quarter.
