Salesforce to Zoho CRM Migration: Process, Data Mapping and Checklist

Moving from Salesforce to Zoho CRM is a business change as much as a data transfer. Done well, your team keeps its customer history, your reports keep working, and your automations behave the way people expect from day one. This page explains how a Salesforce to Zoho CRM migration works, how Salesforce data maps to Zoho, and what to settle before you start. Ashapura Softech is a Salesforce and Zoho partner, so we can advise on the move in either direction. See our Zoho migration services for how we run these projects.

When moving from Salesforce to Zoho makes sense

Teams usually consider the move when licence cost grows faster than the value they get, when only a fraction of Salesforce features are used, or when they want one connected suite (CRM, Books, Desk, Flow) instead of several separate products. It is not right for everyone: orgs that depend on complex Apex, CPQ or very large custom data models should compare carefully first. Our Zoho vs Salesforce comparison covers the trade-offs from a partner of both.

How Salesforce data maps to Zoho CRM

  • Accounts, Contacts, Leads, Campaigns: map to the Zoho modules with the same names.
  • Opportunities: become Deals, with Salesforce stages mapped to Zoho pipeline stages.
  • Tasks and Events: become Activities.
  • Cases: usually move to Zoho Desk or a custom module.
  • Custom objects: become custom modules, with fields recreated by type.
  • Process Builder and Flow: are rebuilt as Zoho workflows, Blueprint and Zoho Flow.
  • Apex code: is rewritten as Deluge custom functions or replaced by a connected app.
  • Reports and dashboards: are rebuilt in Zoho Analytics or CRM reports.

The migration process, step by step

  1. Audit the Salesforce org. List objects, fields, record counts, automations, integrations and users, and decide what is worth moving.
  2. Clean the data. Remove duplicates, fix invalid emails and standardise picklists. Our guide on preparing Salesforce data for Zoho CRM migration goes through this in detail.
  3. Design the field mapping. Record how every source field lands in Zoho, including data types and required fields.
  4. Back up everything. Export a full copy of Salesforce data before any import.
  5. Run a test migration in a Zoho sandbox with a sample of records and check the results against Salesforce.
  6. Rebuild automations and integrations. See our notes on migration tools and Zoho integrations.
  7. Migrate in full and reconcile. Compare record counts and spot-check key accounts and deals. For large orgs, plan this load around Zoho’s daily API credit budget, as covered in Zoho CRM API credits in a Salesforce migration.
  8. Train users and go live, then review data quality after the first weeks.

Common risks and how to avoid them

The usual problems are duplicate records created by repeated imports, relationships between records breaking because parents were not loaded first, picklist values that do not match, and automations nobody documented that quietly stop working. Load parent records before children, keep the source IDs in a reference field, and keep a written list of every automation to confirm it was rebuilt.

Frequently asked questions

How long does a Salesforce to Zoho CRM migration take?

It depends on data volume, how many custom objects and automations you have, and how many integrations must be rebuilt. A small org with standard objects can move far faster than one with heavy Apex code and many connected apps. A short audit of your org gives a realistic timeline before any work starts.

Which Salesforce objects map to which Zoho CRM modules?

Accounts, Contacts, Leads and Campaigns map to Zoho modules of the same name. Opportunities map to Deals. Tasks and Events map to Activities. Cases usually move to Zoho Desk or a custom module, and custom objects become custom modules.

Will my Salesforce automations work in Zoho?

Not automatically. Process Builder and Flow logic is rebuilt using Zoho workflows, Blueprint and Zoho Flow, and Apex code is rewritten as Deluge custom functions or handled by a connected app. Each automation is reviewed and rebuilt on purpose.

Can I keep Salesforce running while we migrate?

Yes. A common approach is to migrate in stages, test in a Zoho sandbox, run both systems in parallel for a short period, and switch users over once reconciliation checks pass.

What happens to attachments, notes and history?

Notes, attachments and activity history can be migrated, but they need to be planned separately because they are large and tied to parent records. Decide up front how much history your team actually needs.
