Certified Zoho partner connecting Zoho CRM to the WhatsApp Business Platform for US and international teams, from Irving, Texas. Two way messaging inside the CRM record, template approval, automation and full conversation history against the contact.
We’re Trusted By
There are three ways to connect WhatsApp to Zoho CRM and they are not interchangeable. Choosing wrong is the most expensive mistake in this project, because migrating a live message history and a set of approved templates later is painful.
| Route | What you get | Where it runs out |
|---|---|---|
| Zoho native channel | Messaging inside Zoho CRM with minimal setup, conversation logged against the contact, template sending | Limited automation depth, limited routing across a large support team, and fewer options for complex message flows |
| Marketplace connector | Faster setup than custom, chatbot builders, broadcast tooling and shared team inbox features | Per conversation or per seat fees on top of Meta charges, and your message data sits with a third party |
| Custom WhatsApp Business API build | Full control of routing, automation, data residency and cost, with messages written straight into your own Zoho modules | Higher build cost, and you own the maintenance when Meta changes the API |
Our honest default: if you are sending transactional notifications and having occasional sales conversations, the native channel is enough and you should not pay for more. If WhatsApp is a primary support or sales channel with volume, routing rules and reporting requirements, a custom build on the WhatsApp Business Platform usually costs less over two years than per conversation connector pricing.
Most of the effort is not the code. It is the Meta side and the message design.
| Trigger in Zoho CRM | WhatsApp message |
|---|---|
| New lead from a web form | Acknowledgement with the assigned rep name and a reply prompt |
| Deal stage moves to proposal sent | Quote ready notification with a document link |
| Payment received in Zoho Books | Receipt confirmation |
| Appointment scheduled | Booking confirmation plus a reminder the day before |
| Support ticket resolved in Zoho Desk | Resolution notice with a satisfaction question |
| No reply on an open deal after a set period | Follow up template, sent inside the rules rather than around them |
WhatsApp is usually one channel in a wider connection project. The same team builds the rest of it under Zoho integration with third party apps, handles CRM customisation under Zoho CRM development, and covers the finance and inventory side under Zoho ERP implementation services.
Send and receive WhatsApp messages from the Lead, Contact and Deal record, with the full thread logged against the customer instead of sitting on a rep phone.
Templates written to pass Meta review first time, submitted, versioned and mapped to the CRM events that trigger them.
Workflow rules and Deluge functions that fire the right template on the right event, respecting the 24 hour customer service window.
Conversation assignment, reassignment and escalation rules so an inbound message reaches the right owner rather than a shared queue nobody watches.
Consent captured at source and stored on the record, with an audit trail, because messaging without recorded opt in is how numbers get blocked.
Delivery, read and reply rates per template, plus conversation cost modelling by category and country so the monthly Meta bill is predictable.
We are a certified Zoho partner and we build these integrations end to end: Meta Business verification support, WhatsApp Business Platform setup, template submission, the Zoho CRM side, and the automation that decides which message goes out and when. Contracting and account management sit with our Irving, Texas office and the engineering with our Ahmedabad team.
Frequently Asked Questions
Yes. Zoho CRM has a built in WhatsApp channel that covers messaging from the record and sending approved templates with relatively little setup. It is genuinely enough for transactional notifications and occasional sales conversations. Where it runs out is deep automation, routing across a large team and complex message flows, and that is when a custom build on the WhatsApp Business Platform makes sense.
If you want messages inside Zoho CRM, you need the WhatsApp Business Platform, previously called the Business API. The free WhatsApp Business app cannot connect to a CRM, cannot be shared properly across agents and cannot be automated. The app is fine for one person answering messages by hand and nothing more.
Meta charges per conversation, and the rate depends on the conversation category and the country you are messaging. A marketplace connector adds its own per seat or per conversation fee on top. A custom build removes the connector fee but carries the build cost and the maintenance. We model your likely message mix before the build, so the running cost is known rather than discovered on the first invoice.
Most commonly promotional wording in a category submitted as utility, unclear or missing opt in language, too many unexplained variables, or a display name Meta will not approve. We write and submit templates rather than iterating them live, because repeated rejections affect how Meta treats the account.
No, and this is the rule that breaks most designs. Outside 24 hours from the last customer message you can only send an approved template, not free text. You also need recorded opt in, and blocks or reports lower your quality rating and cut your messaging limits. Any flow we build works inside those constraints rather than around them.
